Events & Tour Coordinator
GENERAL DEFINITION OF WORK:
Under supervision of the Director of Downtown Operations & Community Services, is responsible for coordinating activity within the City of Beaufort and serves as Events and Tour Coordinator to enhance the cultural and social vibrancy of the city. This position will collaborate with organizations, individuals, local businesses to deliver memorable and successful events that engage residents and visitors. In addition, help guide the department as its objectives evolve.
ESSENTIAL FUNCTIONS:
The following functions are intended only as illustrations of the various types of work performed. The omission of the specific duties does not exclude them from the position if the work is similar, related or a logical assignment to the position.
• Manages, coordinates and execute city-sponsored events, including festivals, parades, and community celebrations.
• Processes Park rental applications, schedules, and coordinates reservations for festivals & large attendance events including but not limited to scheduling, instructing, assigning, reviewing, and planning work of others; maintains standards and coordinates activities. Take appropriate steps to ensure the safety of all citizens that utilize the facilities Responsible for processing Special Events Permits for the public. Coordinates with applicants, relevant City departments and state agencies to ensure compliance with applicable rules and regulations.
• Presents requests for events to City Council as needed.
• Develops and maintains a healthy working relationship with elected officials, city staff, festival planners, facility managers, tourism stakeholders, key community leaders, industry representatives, and other community stakeholders; etc.
• Develops and supervises as the on-site principle for the execution of City of Beaufort Community events.
• Solicit sponsorships and provide acknowledgement of sponsors for events.
• Manages volunteer schedules and recruitment.
• Prepare and manage event budgets, ensuring cost-effective use of resources.
• Prepare monthly reports/presentations of event activities.
• Serves as a member of various staff committees as assigned. Coordinates the activities of the various committees and ensures communication among the committees are well established.
• Prepares disseminate marketing material for events, activities, and incentives.
• Promote events through social media, press releases and other marketing channels in coordination with the communications team.
TOUR COORDINATOR DUTIES:
• Coordinates and participates in the enforcement of all ordinances pertaining to tour buses, horse drawn carriages and walking tours.
• Inspect tour routes to ensure sanitary and safe conditions.
• Coordinates tourism activities with the visitor center, tour operators, bus companies and other organizations; grants special permits as required.
• Assigns and enforces routes and schedules for touring vehicles.
• Monitors heat conditions and regulate hours of operation for horse-drawn carriages.
• Receives and responds to inquiries and concerns from the public.
• Serves as City liaison with the Tourism Management Advisory Commission and City Council on matters related to tourism.
• Assists the Director of Downtown Operations & Community Services, Downtown Manager and Administrative Assistant by performing a variety of administrative, secretarial and clerical duties, which include, but are not limited to: researching and compiling data, composing routine correspondence, taking minutes, scheduling meetings and appointments, developing and maintaining computer record-keeping operations, establishing and maintaining files, preparing travel vouchers, making travel arrangements, opening and screening mail, maintaining mailing lists, ordering supplies, maintaining calendar, etc. Performing various customer service functions as required.
• Must work irregular hours to include attendance to events and meetings outside of the normal working business hours of Monday – Friday, 8:00 AM to 5:00 PM. Must be willing to work some late nights, weekends and holidays.

• Assists in implementation of goals and objectives and development of policies and procedures.
• Anticipates and prepares materials needed for conferences, meetings, events, correspondence, etc.; ensures prompt response to correspondence, phone calls, requests, etc.
• Performs routine clerical work, including but not limited to: maintaining logs, copying, and filing documents, typing forms, faxing information, etc.
• Assists in maintaining data and information for the implementation and creation of annual and long-term budgets, capital improvement plans and initiatives.
• Performs computer data entry to record and retrieves information.
• Completes special projects as assigned.
• Receives, reviews, prepares and/or submits a variety of documents such as agendas, minutes, applications, receipts, legal documents, forms, purchase requisitions, vouchers, grant applications, calendars, schedules, lists, logs, various reports, correspondence, etc.
• Operates a variety of equipment such as a computer, printer, typewriter, fax machine, audio-visual equipment, calculator, copier, telephone, etc.
• Interacts and communicates with the City Manager and Staff, City Council members, Merchants, visitors, residents, commission/committee members, departmental supervisors and employees, co-workers, other government agencies and external organizations, County personnel, attorneys, consultants, and other elected officials.
• Performs related duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES:
Is knowledgeable in the laws, ordinances, standards and regulations pertaining to the specific duties and responsibilities of the position. Has thorough knowledge of the organization of the City and of related departments and agencies. Can comprehend, interpret and apply regulations, procedures and related information. Has knowledge of the principles and practices of municipal government procedures and practices. Has knowledge of modern office practices and equipment. Has knowledge of proper English usage, vocabulary, punctuation and spelling; has knowledge of basic mathematics. Can type accurately at a rate sufficient for the successful performance of assigned duties. Knows how to operate and maintain a variety of office equipment as necessary in the performance of daily activities. Is skilled in applying responsible attention to detail in preparing reports and correspondence. Can take the initiative to complete the duties of the position without the need of direct supervision using independent judgment. Can plan, organize, and prioritize daily assignments and work activities. Can help fellow employees as necessary. Performs duties courteously and with the utmost integrity in the best interest of the public. Can work under stressful conditions and know how to react calmly and quickly in emergency situations.
EDUCATION AND EXPERIENCE:
Requires a vocational/technical diploma in secretarial science or other relevant field supplemented by three to five years of administrative experience and/or marketing, or an equivalent combination of education, training and experience that provides the required knowledge, skills and abilities.
PHYSICAL REQUIREMENTS:
This work requires the occasional exertion of up to 10 pounds of force; work regularly requires sitting, speaking or hearing, using hands to finger, handle or feel and repetitive motions and requires standing, walking, stooping, kneeling, crouching or crawling, reaching with hands and arms, pushing or pulling and lifting; work has no special vision requirements; vocal communications is required for expressing or exchanging ideas by means of the spoken word levels; work requires preparing and analyzing written or computer data, using of measuring devices and observing general surroundings and activities; work has no exposure to environmental conditions; work is generally in a moderately noisy location (e.g. business office with copy machines, telephones and/or computer printers, light traffic).
